General Villa Vacations FAQ’s

Q: What are the price ranges of the villas?
Villa prices range from about $2,500 per week to $200,000 per week. The key factors in determining the price of a villa are the size, number of bedrooms, architectural design, décor, location of the villa, the island or region it is in, and the time of year you choose to travel.

Q: How is the price determined?
Since all of the villas we represent are privately owned vacation homes, pricing criteria can vary from house to house, from season to season, and from destination to destination based upon the villa management company & individual owner preferences. Location, quality, amenities, inclusive services, and popularity/availability of the villa are all price influencing factors. As a general statement, the average villa is priced at about $2000 per bedroom per week for a house with a pool.

Q: What is included?
Amenities and services vary from house to house and from destination to destination. Please check the individual villa description for a full accounting of which amenities and services ARE and ARE NOT included in each of the villas you are interested in.

Q: What are some of the additional costs?
Additional expenses may apply in certain locations, so it’s advisable to consult with your reservations agent before finalizing your villa booking. These extra costs could encompass various utilities such as pool heating, house heating, exceeding a specified level of electricity consumption (common in Europe), long-distance phone usage, internet connections in properties with dial-up service, and maid-provided laundry services (note that access to client-operated laundry facilities may not always be available).

Q: What are some of the advantages of a villa versus a hotel?

Making a Villa Reservation FAQ’s

Q: How far in advance do I need to book the villa?

The most sought-after villas often get booked several months ahead of time. As a rule of thumb, if you have your heart set on a specific villa for a particular timeframe, it’s advisable to secure it with a deposit promptly. In most cases, reservations are handled on a first-come, first-served basis. However, in select destinations, if your preferred villa isn’t available, you may have the option to join a waitlist.

To check villa availability, utilize the villa search tool located in the left-hand navigation bar. Simply input your travel dates and desired destination to see which villas are open for your selected timeframe. You can further refine your search by filtering based on the number of bedrooms or price range.

Q: When do I need to put a deposit down to reserve the villa?
In most cases, within 5 to 14 days of saying “yes I’d like to reserve that villa for my vacation”, you need to provide Haute Retreats the signed contract. A reservation is not considered valid until the deposit money is received. A valid credit card number is required on all reservations at the time that the booking is made to guarantee the reservation until a check or wire transfer is received.

Q: How much of a deposit do I need?
While specific amounts may differ depending on the destination, typically, a deposit ranging from 30% to 50% is necessary to confirm your villa reservation.

Q: When is the final payment due?
Timeframes for final payments can vary depending on the destination, but typically, the full payment is required 60 days prior to your travel date. For last-minute reservations made within 60 days of arrival, the entire payment is typically due within 5 days of making the reservation.

Q: What are the forms of payment I can use?

  • Wire Transfer (client is responsible for wire transfer fees from both banks)
  • Credit Cards  (3% transaction fee applied)

Q: What are the cancellation fees?

Cancellation policies can differ based on the destination, but as a general guideline:

  • Cancellation more than 60 days before arrival typically incurs a fee of 0-25% of the gross rental price.
  • Cancellation between 60 and 30 days before arrival usually results in a fee of 50% of the gross rental price.
  • Cancellation within 30 days of travel typically leads to a full forfeiture of the gross rental price.

It’s advisable to confirm the specific cancellation policy for your reservation by consulting with your Reservation Agent.

Q: Can I reserve the same villa for the same time next year if I like it?
If you would like to reserve the same villa for the same time next year, Haute Retreats  strongly encourages you to REBOOK that villa with Haute Retreats as soon as you return. The most popular villas get rented quickly. Your Haute Retreats Reservations Agent will call you upon your return to assist you in rebooking your villa, or to help you find another personalized villa vacation experience in another of our selected destinations.

Travel Questions FAQ’s

Q: How many people can I bring with me?
Unless otherwise specified in the villa description, the maximum occupancy for any villa is generally assumed to be 2 people per bedroom. If you exceed this limit and arrive with additional guests, it may result in being asked to vacate the villa and forfeit your rental. In the event of last-minute guests joining your party, Haute Retreats can assist you in arranging supplementary villa or hotel accommodations for them. Alternatively, if feasible, we can explore the option of securing a larger villa for your entire group, provided we can find a replacement for your original rental.

Q: Will I need to put down a security deposit on my villa rental?

Security deposits can vary significantly based on the destination and the specific villa. The amount is typically determined by the villa owner and may be influenced by factors such as the presence of valuable antiques, artwork, or electronics within the property. While security deposit requirements range from $500 to $10,000, depending on the weekly rental rate, it’s important to note that most villas do require some form of security deposit.

In many cases, a credit card number is collected as a guarantee for the security deposit, and the card is only charged if there are damages or outstanding utility charges incurred during the rental period. Alternatively, if a security deposit check is collected at the time of the final payment, it is deposited with Haute Retreats and then refunded (minus any utility or damage expenses) within 1 to 3 months following your return from your villa vacation.

Q: How do I get directions to the villa?
In the Caribbean: Haute Retreats will provide you in advance with Arrival Information for your destination and villa. In most cases, there will be a local representative who will meet you at the airport, direct you to your rental car agency, and then escort you to your villa, where they will acquaint you with all of the operations and mechanics of your villa.

In Europe:

Haute Retreats ensures your smooth arrival by providing detailed Arrival Information and explicit directions to your villa from the airport in advance. Note: When renting a car, it’s advisable to also rent a GPS, which can be invaluable if you stray off course, particularly at night when road signs and landmarks may be less visible.

Due to international time differences and the distance of many of our European villas from major airports (often 1-2 hours away), we strongly recommend arranging for an airport transfer via limo or van to your villa. Your rental car will then be ready and waiting for you upon arrival or can be delivered to you the following day for added convenience.

Q: How do I get the key to the villa?
You will either be met at the airport or at the villa by a local representative who will give you your keys to the villa as well as a house tour to familiarize you with all aspects of the villa.

Q: Should I buy Travel Insurance?
We advise you to consider purchasing a travel protection plan to safeguard both you and your travel investment against unforeseen circumstances. These plans typically offer coverage for Trip Cancellation, Trip Interruption, Emergency Medical and Emergency Evacuation/Repatriation, Trip Delay, Baggage Delay, and additional benefits.

Q: How much does Travel Insurance cost and what is covered?

Q: Who do I contact in the event I have a problem at the villa?
Every villa offered by Haute Retreats has a local housekeeper, villa manager, or local villa management company who is accessible round the clock to respond to any problem you might have at your villa. You will be supplied with their contact information, along with other important local phone numbers.

We make sure the process of booking your vacation with us is as simple as possible.

  1. Confirming your booking Once you have decided to book your villa, please read the Important Information and Booking Conditions on the rental agreement. Your villa consultant will inform you of the deposit required to secure the holiday. Payment can be made by bank transfer, debit card, or credit cards. On request, bank transfers can be accepted in all Euros and US$ in our bank accounts.
  2. We will acknowledge your payment and confirm the reservation Subject to availability and receipt of all applicable payments, we will confirm your arrangements, process the payment (full balance payment depending on the payment policy of each villa) and send a receipt confirmation. Once we have processed your initial payment, a contract between us will come into existence. If, for whatever reason, we are unable to book your villa exactly as quoted (due to availability or other issues), we will discuss other options and provide a revised quote. If we are unable to provide a suitable alternative, your initial payment will be refunded in full.
  3. Confirmation invoice Once all elements of your booking have been confirmed, we will issue a confirmation invoice detailing all aspects of your villa, including the services and arrangements, passenger details, outstanding balance and due date for the final payment.
  4. Final balance payment We will send you a notice letting you know when the balance is due. Payment can be made by way of bank transfer or debit card. Credit cards are accepted for final balances but a charge of 3-4% (depending on the card type) will be added to the invoice to cover the charges levied by credit card companies. We choose not to build this charge into our prices, as the majority of our guests pay by bank transfer or debit card and we believe that it would be unfair to indirectly charge them a levy.
  5. Final travel documents Approximately 2-4 weeks before you travel, you’ll receive all the documents about your reservation and final arrangements to your address. For bookings made within two weeks of departure or with a non-Italy address an email will be sent to you with the confirmation along with the relevant travel documents.
